# Replace a File Without Sending a New Link

The client already has the link, and you have just spotted a typo in the final export. Instead of sending a new link and explaining which one is right, change the files of the transfer you already sent.

**Quick answer:** Open your Transfers page, find the transfer, open More and choose Edit files or message. In the Edit transfer window, press Replace next to a file and pick the new version: the link stays the same, the download page shows it as "v2, updated" with the date, and people who already downloaded it and whose email is known get one email. The same window has Add files, Remove, Message, Recipients and, where available, Link options. Password, download limits and closing time are under Settings.

## What it does and when to use it

A sent transfer is not frozen. While it is live, you can swap a file for a new version, add or remove files, and change the message, without the link changing.

- **A designer** sent a brochure PDF to the printer and spots a wrong phone number on page 3.
- **A video editor** shared a cut for review and now has the colour-graded version.
- **A teacher** posted worksheets in a class group and needs to add the answer key on Friday.

## Replace a file step by step

1. Open your [Transfers page](https://sharelargefilesfree.com/history) in the browser you sent from, or sign in to use it on any device.
2. On the transfer, open **More** and choose **Edit files or message**. The **Edit transfer** window opens.
3. Under **Files**, press **Replace** next to the file and choose the new version. A progress bar shows the upload.
4. Wait for "Replaced. It is now version 2, and the link stays the same." It also says how many people who had downloaded it were told by email.
5. Press **Done**.

## What the recipient sees

Anyone who opens the link from now on gets the new file. In the file list it is marked **v2, updated** with the date, so nobody wonders which copy is current. People who downloaded the old version and whose address the transfer knows get one email, "uploaded a new version", with a **Get the new version** button. That covers email recipients, people who confirmed their email to open the link, and [personal links](https://sharelargefilesfree.com/personal-download-link-per-recipient) with an email. People who downloaded anonymously from an open link cannot be told, so let them know yourself.

## A worked example

Neha emails a 2.4 GB product video to five people at a client. An hour later the client's logo turns out to be the old one. She exports a fixed file, opens **Edit files or message**, presses **Replace** and picks it. The window reports version 2 and that two people who had already downloaded were told by email. Under **Message** she adds "v2 has the new logo", presses **Save message**, and the download page shows the new text.

## Everything you can change after sending

| What | Where on the Transfers page | Note |
| --- | --- | --- |
| Replace, add or remove files | Edit files or message, Files | Same rules as a new upload |
| Message | Edit files or message, Message | Emails already sent keep the old text |
| Add people, resend to one person | Edit files or message, Recipients | Email transfers only: **Add and send**, **Resend** |
| View only, ask for details, branded page | Edit files or message, Link options | Shown when the site offers them; applies from now on |
| Password, download limits, closing time | Settings | |
| Expiry | Keep it longer | |
| Personal links, QR poster, new link with the same files | More | |

## Limits and what it does not do

- New and replacement files follow the upload rules: 20 GB per transfer, 1000 files, blocked file types and the virus scan.
- Only live transfers can be edited, not expired, stopped or deleted ones.
- A transfer keeps at least one file: the last file can be replaced but not removed.
- Files cannot be changed on encrypted transfers, on files kept on external storage, or on transfers stored as one ZIP. The Edit window says why.
- People who downloaded the old version keep their copy. Nothing is pulled back from their device.
- The expiry of 1 day is not reset by an edit; use **Keep it longer** if needed.

## Troubleshooting

- **No "Edit files or message":** the transfer is not live, or you are in a different browser from the one you sent with and not signed in.
- **Replace is missing but Message works:** the files of this transfer cannot be changed; the window shows the reason.
- **Nobody got the update email:** they downloaded anonymously, or had not downloaded yet; they will get the new file when they open the link.
- **The replacement is refused:** it would take the transfer over 20 GB, or the file type is blocked. Remove an old file first, or send a new transfer.
- **A recipient still has the old file:** they saved it before the change. Send them the same link again; it now gives version 2.
